Trip Logistics Parent Update Template

Use this when a normal weekly note is not enough because the team is traveling overnight or handling a larger trip with departure time, lodging, meals, return window, packing expectations, and ride-home details.

Use this before the itinerary fragments. Big trip communication fails when parents get bus times in one place, hotel notes in another, and pickup or packing reminders somewhere else. The better move is one saved trip note.

What the note must settle

The trip note should answer the questions that usually spawn a week of side texts.

Departure and return

Name when athletes leave, when they are expected back, and how updates will be handled if the return window shifts.

Where athletes are staying

Say the lodging plan, rooming basics if needed, and any supervision note families should understand.

What families must do

List meals, forms, packing expectations, medication handoff, and the ride-home rule if athletes are not returning the normal way.

This version works when the team has one bigger travel event and parents need the full operational note in one place.

Bears TC families, Please use this note as the source of truth for the upcoming trip. Trip framework: - departure time: [insert time and location] - return window: [insert estimated return window] - lodging: [insert hotel / housing plan if relevant] - meals: [insert what is covered and what athletes should bring] What athletes need: - normal training / race gear - anything listed in the trip packing note - any required form, waiver, or medication plan that still needs to be turned in Ride-home rule: - if your athlete is not returning with the team, tell the coaching staff by [insert timing rule] - do not wait until the last transition point of the trip to explain a changed return plan What families should do now: - save this note - check the listed forms and packing items - ask trip questions before departure day, not during the loading window If the return window changes, the team communication channel and this trip note will stay aligned as the source of truth. Return-window reply

Please use the current trip note for the latest return window. If your athlete is not returning with the team, tell the coaching staff before the stated cutoff instead of waiting until pickup.

Packing / forms reply

Please use the saved trip note for the current packing list, forms, and meal expectations so families are working from one source of truth before departure day.

Coach checks before sending

Keep the itinerary usable

  • Put departure and return near the top.
  • Do not bury the ride-home rule at the bottom.
  • Use linked packing and forms pages instead of restating every detail if those already exist.

Protect the handoff

  • Repeat what changes if the return window moves.
  • Say whether athletes return with the team by default.
  • Make families act before departure day, not during the loading scramble.
