Name when athletes leave, when they are expected back, and how updates will be handled if the return window shifts.
Say the lodging plan, rooming basics if needed, and any supervision note families should understand.
List meals, forms, packing expectations, medication handoff, and the ride-home rule if athletes are not returning the normal way.
This version works when the team has one bigger travel event and parents need the full operational note in one place.
Please use the current trip note for the latest return window. If your athlete is not returning with the team, tell the coaching staff before the stated cutoff instead of waiting until pickup.

Use the meet-week note when the trip is not overnight and the main job is race-day report time, travel, and pickup clarity.
Use the packing list when families need the practical gear checklist without the full travel itinerary around it.
Use the forms note when the actual friction is signatures, waivers, or turn-in routes instead of the wider trip plan.
