Volunteer and Parent Support Update Template

Use this when the team needs one clear parent note for volunteer shifts, aid-station support, signups, waivers, themes, parking, drop-off, and who is bringing what.

Use this before signup confusion spreads. Volunteer support gets messy when families are piecing together who signed up, what forms are still missing, where to park, and which supplies still need to show up. One saved support note works better than a thread of reminders.

What the note must settle

The support note should turn a vague “we need help” message into a usable operations note.

Who is needed

Name the number of volunteers, which roles matter most, and whether the help is for athletes, parents, or both.

What is required

List the signup route, waiver rule, theme or supply needs, and any arrival or orientation details.

How the day works

Say where to park or drop off, when to arrive, and who to contact if the plan changes.

This version works when the team needs one saved parent note for a volunteer-supported event or aid station.

Coach checks before sending

Make the ask concrete

  • Name how many people are needed.
  • Say what the role actually is instead of only saying “we need help.”
  • Put the signup route and waiver rule where families cannot miss them.

Protect event-day flow

  • Repeat the arrival, parking, or drop-off rule if space is limited.
  • Say whether supplies, themes, or food are still unclaimed.
  • Tell families how to communicate a change before the event starts, not after.
